NJASFAA Executive Council Meeting Minutes

Attended:  Jim Anderson, Frank Cuozzo, Derek Gatling, Gisele Joachim, Dennis Levy, Shirley McFarlane, Helen Mikulak, Ninfa Mueller, Carmen Panlilio, Jim Pegg, Maribeth Quinn, Joe Roberto, David Sheridan, Mark Singer, Karen Weber, Jack Williams, Debra Wulff

 

The meeting was called to order at 10:40 a.m.  A quorum was established.

 

Motion to approve the October 17 Executive Council meeting minutes moved by Maribeth Quinn; Seconded by Dennis Levy.  Minutes were approved unanimously by a voice vote.

 

Officer Reports:

 

Treasurer:  Debra Wulff

 

·        The association received $51,050 in vendor support for the fall conference.  $60,000 was budgeted. 

·        19 members have not paid membership dues.  22 members are still unpaid for the fall conference. 

·        Motion to accept the Treasurer’s report moved by Helen Mikulak; Seconded by Frank Cuozzo.  Treasurer’s report was accepted unanimously by a voice vote.

 

President:  David Sheridan

 

·        We discussed what to do with old records.  Keith and Helen have tax records.  HESAA has other NJASFAA records, including Executive Council meeting minutes.  Gisele and Joe will sort through the boxes at HESAA and discard old records.    Documents should be in a central location.  David asked if we should rent a storage facility to house these. 

·        We may amend our constitution in the future to include a historian.

·        Dennis and Carmen have been selected as NJASFAA representatives to attend the NASFAA Leadership Conference in March.

·        Nominations for the NASFAA State Award are due on February 20, 2004.  David asked if NJASFAA has done anything for consideration of this award.  Our public awareness campaign about financial aid consultants and scholarship scams was mentioned.

 

Committee Reports:

 

Conference:  Jack Williams

 

·        Most people gave the conference good reviews, especially Bally’s.  The overall picture had no negative comments. 

·        The vendor room and the electronic training room received good reviews and the most frequent comments.

·        The “Let’s Make a Deal” game show and the Grease band received great reviews.

·        The incentive fee structure was a good idea for small schools.

·        Joe has booked Bally’s for November 9 - 11, 2004.

·        The spring conference will be held on April 14, 2004 at the Bridgewater Manor. 

 

Development:  Jim Anderson

 

·        Jim will contact those vendors who are still unpaid from the fall conference.

·        Nelnet will contribute $5000 to the NJASFAA scholarship fund.

 

EASFAA Update:  Joe Roberto

 

·        The EASFAA Spring Conference will be held May 16 - 19, 2004 in Providence, Rhode Island.

·        NASFAA will not do a spring training workshop in 2004.  EASFAA will compile materials from the NASFAA Leadership Conference into a one-day training workshop.

 

Government Relations:  Carmen Panlilio

 

·        Carmen has invited Scott Miller, chair of the PASFAA Government Relations Committee, to this committee’s next meeting.  It will be held on February 18, 2004 at HESAA.

 

Long Range Strategic Plan:  David Sheridan

 

·        David and Mike reviewed the membership survey results.  These will be discussed at the Long Range Strategic Plan Committee retreat to be held in February.

·        We discussed how to encourage new members to get involved in NJASFAA and the issue of time out of the office.  Some people feel that we should work with institution presidents to inform them of the importance of NJASFAA. 

 

Membership:

 

·        The association has 395 members.

 

Mentoring:  Ninfa Mueller

 

·        35 new members attended the fall conference.

·        The committee would like to continue to reach out to new members.

·        Ninfa suggested holding another summer training institute and having Executive Council members reach out to new members.

 

Multicultural Concerns:  Derek Gatling

 

·        Derek and Jacki are finalizing financial support for the Multicultural Student Award.  They sent 108 letters to corporations for funding.  They have received a few donations from NJASFAA members.

 

Newsletter:  Frank Cuozzo

 

·        Frank sent all articles for the next issue of the Newsletter to ATAC yesterday.  It should be posted to the NJASFAA Web site in January.

 

Public Relations:  Mark Singer

 

·        The committee is developing a brochure to promote the association.  It will be available for the spring conference.

·        Mark will prepare a press release about the Speakers Bureau.

·        The NJASFAA Hotline will be held January 25 - 30, 2004. 

 

Scholarship:  Jim Pegg

 

·        Jim has updated all the materials from last year.

·        The first announcement for the scholarship will be sent in January.

 

Sunshine:  Shirley McFarlane

 

·        Shirley is sending electronic birthday cards to NJASFAA members.

 

HESAA Update:  Gisele Joachim

 

·        The Governor sent a Proclamation of Financial Aid Awareness Week to HESAA.

·        The Military Survivor Scholarship Program has passed through the Legislature.  HESAA anticipates that the Governor will sign it in January.

·        The Law Enforcement Memorial Scholarship Program has been approved.  Awards will be effective for 2004-2005.

·        To date HESAA anticipates that the appropriation for the Part-Time TAG Program for County College students is sufficient to fund fall and spring awards as projected.  County College aid administrators are encouraged to publicize the existence of the program to their students.

 

New Business:

 

·        A suggestion was made to post information to the NJASFAA Web site regarding what software institutions use.
