Council Meeting Minutes

The meeting was called to order at 10:20 a.m. A quorum was established.
Motion to approve the October 22 Executive Council meeting minutes moved by Reggie Page; seconded by Helen Mikulak. Minutes were approved unanimously by a voice vote.
Officer Reports:
Treasurer:

All bills are paid to date.
President-Elect: Carmen Panlilio
· Our accountant will help us establish the endowment fund.
Past President: David Sheridan
· The Board of Directors reviewed our travel reimbursement policy at its last meeting. A discussion was held regarding travel reimbursement to and from committee meetings and activities. Members agreed that this is a good idea, but the primary concern in changing our policy is the amount of work for the Treasurer. A suggestion was made today that expense forms are submitted once or twice a year.
· David Sheridan moved a motion that expenses for mileage and tolls for committee meetings and activities will be fully reimbursed by the association, at the standard federal rate, if the round trip is greater than 40 miles. Reimbursement includes tolls and will be made twice a year, effective July 1, 2005. Mark Singer seconded the motion. Motion carried unanimously by a voice vote.
· David will contact members in January to solicit nominations for Executive Council and NJASFAA Service Awards.
Committee Reports:
Conference: Gisele Joachim
· The conference went very well and evaluations were good. We received many positive comments.
· Everyone enjoyed the Jeopardy game show and the Grease band.
· The spring conference will be held on April 13, 2005 at the Bridgewater Manor.
· The next committee meeting will be held on January 21.
Development: Jim Anderson and Kimber Decker
· Kimber and Dennis will send invoices to the seven vendors who are still unpaid for the fall conference.
EASFAA Update: Joe Roberto
· Hotel reservations for the EASFAA Conference, to be held at Bally’s Park Place in Atlantic City, will be available in January.
Government Relations: Lissa Anderson and Sheila Attias
· Lissa and Sheila have contacted the NYASFAA and PASFAA GRC chairpersons and hope to meet with them.
· They will continue to send updates to the NJASFAA list.
· The next committee meeting will be held in the beginning of February.
Newsletter:
·
The fall conference issue of the newsletter will be
distributed in January.
Non-Traditional Concerns: Helen Mikulak
· Helen submitted an article for the newsletter on the Clock Hour training session presented at the fall conference.
· The next committee meeting will be held on January 14.
Novice Training: Jo-Ann Craig and Debra Wulff
· Novice training will be held June 21 - 24, 2005 at Drew University.
· Jo-Ann and Debra will be planning the agenda soon.
· They will send a letter to institutions in January to determine how many members each institution will send.
Public Relations: Mark Singer
· Mark distributed the NJASFAA brochure at the fall conference.
· The NJASFAA Hotline will be held January 23 - 28, 2005.
Speakers Bureau: Reggie Page
· The Speakers Bureau brochure and the list on our Web site have been updated.
· A letter to educate parents about financial aid consultants was distributed to guidance counselors at the guidance counselor workshops sponsored by HESAA. This letter will be placed on our Web site.
Sunshine: Shirley McFarlane
· The committee is up to date with events.
Training and Professional Development: Frank Cuozzo
· Jim Briggs conducted a training workshop on income tax returns on November 29. Over 80 members attended. We received positive feedback on the workshop.
· The next committee meeting will be held in January to discuss spring workshops. Topics will include a support staff workshop and an NSLDS workshop.
Old Business:
·
Kathy Bialk and Richard Woodland have started the
internal audit of the NJASFAA books.
·
Maribeth met with Fran Andrea and John Iacovelli on
December 10 regarding the College Goal Sunday program. They reviewed the proposal to send to
NASFAA. Maribeth has formed a steering
committee, which will meet to discuss logistics.
·
The Board of Directors discussed NJASFAA lifetime
membership status at its last meeting.
We would like to recognize Past Presidents who have retired out of
financial aid. Motion that NJASFAA will
offer complimentary lifetime membership status to all Past Presidents retiring
out of financial aid moved by David Sheridan; seconded by Shirley
McFarlane. Motion carried unanimously by
a voice vote.

Motion that we offer Marion Twitchell a lifetime
membership award at the spring conference moved by Maribeth Quinn; seconded by
Helen Mikulak. Motion carried
unanimously by a voice vote.

Gloria Green, Jean Hathaway and Joe Roberto have been
selected as NJASFAA representatives to attend the NASFAA Leadership Conference
in March.
·
Frank reported on the two NJACSA meetings held on
October 27 and December 13. At the
first meeting, HESAA gave a presentation on projects in which it is involved,
including simplification of the FAFSA and the IRS match. At the second meeting, a discussion was held
regarding planned revisions to the Management Review Chapter of the Grants and
Scholarships Policy and Procedures Manual.
New Business:
·
Nelnet presented NJASFAA with a $5000 check for the
NJASFAA Scholarship.
·
Carmen is considering a College Leadership New Jersey
program. Colleges would identify
students who want to consider a career in financial aid. The program would include a two-day training
focusing on leadership and mentoring, and how to progress in a career in
financial aid.
Motion to adjourn moved by David Sheridan; seconded by Joe
Roberto and unanimously approved at 12:15 p.m.
