NJASFAA Executive Council Meeting Minutes

The meeting was called to order at 10:10 a.m.  A quorum was established.

 

Motion to approve the February 18 Executive Council meeting minutes moved by David Sheridan; seconded by Joe Roberto.  Minutes were approved unanimously by a voice vote. 

 

Officer Reports:

 

Treasurer:  Dennis Levy

 

·        Motion to approve the Treasurer’s Report moved by Karen Weber; seconded by Helen Mikulak.  Treasurer’s Report was approved unanimously by a voice vote.

 

President-Elect:  Carmen Panlilio

 

·        The Endowment Fund Committee will meet at the spring conference.

 

Past President:  David Sheridan

 

·        The NJASFAA election for 2005-2006 will be available on our Web site soon.

 

Committee Reports:

 

Awards and Recognition:  Catherine Boscher-Murphy

 

·        The committee will distribute longevity awards at the spring conference.

·        Jim Adams, Randy Richards and Marion Twitchell, who recently retired, will be recognized at the conference.

 

Conference:  Gisele Joachim

 

The spring conference program includes the following:

 

·        Business Meeting

·        Two general sessions: a session on Workplace Survival Skills and a HESAA Update

·        Three concurrent sessions

·        Annual Scholarship and Awards Luncheon

 

EASFAA Update:  Joe Roberto

 

·        EASFAA is considering adding a retired membership category to its By-Laws.

·        Patricia Guli has been selected as the EASFAA Mentoring Scholarship recipient for 2005-2006.

 

Electronic Initiatives:  Larry Sharp

 

·        Our new Web site should be operational soon.

·        Larry reviewed new enhancements to the site.  These include a new member services area; a new membership administration for officers and committee chairs; and a new list lock feature with enhanced security for the listserve.

 

Government Relations:  Sheila Attias

 

·        The March 1 committee meeting was cancelled because of inclement weather.

·        The next committee meeting will be held on May 11.

 

Membership:  Joan Buttafuoco

 

·        The association has 439 members.

 

Mentoring:  Gloria Green

 

·        The committee visited the Rutgers University Office of Financial Aid on March 15. 

·        Committee members will attend the spring conference; visit HESAA for a spring loan day in May; and participate in Novice training in June.

 

Newsletter:

 

·        The fall conference issue of the newsletter will be distributed soon.

 

Non-Traditional Concerns:  Helen Mikulak

 

·        The committee met on March 4.

·        The next committee meeting will be held on April 29.

 

Novice Training:  Jo-Ann Craig

 

·        An announcement for Novice training has been posted to the NJASFAA list.  It will also be included in the spring conference packets.

·        Instructors are still needed for two sessions.

 

Scholarship:  Jean Hathaway

 

·        The committee met on March 10 and selected the scholarship winners.  Thirty-nine applications were submitted.  There was a winner from each sector.

·        Letters to the recipients and nominators went out on March 15 inviting them to the Awards Luncheon ceremony at the spring conference.

·        The names of the scholarship recipients have been posted to our Web site.

 

Sunshine:  Shirley McFarlane

 

·        The committee would like to recognize members who have changed jobs.

·        The Sunshine Committee report in the spring conference packets will list members who have received promotions.

 

Training and Professional Development:  Patricia Guli

 

·        “Verification by the Numbers” was held on March 14 at Rutgers University.

·        An NSLDS workshop will be held on April 5 at Raritan Valley Community College.

·        A Support Staff workshop will be held on April 22 at Raritan Valley Community College.

 

HESAA Update:  John Iacovelli

 

HESAA will:

 

·        Produce the first applicant roster for 2005-2006 on March 21.

·        Float the next bond issue to fund the NJCLASS Loan program.

·        Purchase a new telephone system and anticipates that it will be installed in June.

·        Expand the hotline hours.  The hotline will available from 8 a.m. to 8 p.m. on Monday through Thursday.

 

Old Business:

 

·        The College Goal Sunday task force committee met last week to put together a planning budget.  Committee members will have a conference call tomorrow with Marcia Weston, Director of College Goal Sunday Operations for NASFAA, to discuss this.

·        Michael Bennett will report on the progress of the College Goal Sunday program at the spring conference.

·        The Audit Committee met on February 9.  It will explore a number of suggestions made at that meeting.  There was unanimous consensus that a detailed audit should be conducted as soon as possible to develop a clean financial base line.  The committee has contacted two auditors, who will give price estimates for their services.  Once the estimates are received, the committee will make a proposal to Executive Council to proceed with this audit.

·        NJASFAA will distribute beach towels to all EASFAA conference attendees.

·        Maribeth asked all committee chairs to review their budgets to determine which line items can be adjusted at the end of the year.

·        Catherine will chair an ad hoc committee to review our old records to determine what we have to archive.

 

New Business: 

 

·        We would like to set up a vendor account for conference calls.  We’re looking for a vendor that does not require a credit card.  Larry will check with the company that handles conference calls for Mapping Your Future.  David asked us to look into different vendors and report back to Council at our next meeting. 

·        EASFAA and NASFAA are seeking volunteers to serve on the Local Arrangements Committees for the EASFAA Conference to be held in May in Atlantic City and for the NASFAA Conference to be held in July in New York City.
